How to Write Great Thank You Notes

Want a simple formula for writing a thank you note that will be gratefully received and remembered? It's not difficult when you follow a few simple steps. For example, the following formula is great for thanking someone for giving a gift:

1. Choose the card, note, or letterhead that you plan to use, find a pen, and sit at the table.

You may also want to grab a piece of scratch paper for making some notes before you put your thoughts on the final note.

2. Put yourself in a "receiving" mood.
Yes, by remembering how enjoyable it is to receive a gift, you'll be in the best possible frame of mind to write a great thank you note. It may take an extra minute, but the writing will be much easier if you start this way.

3. In one or two sentences, start by saying their name and how you felt when you received the gift.

For example: Dear Aunt Susan, It was a great surprise to get your package in this morning's mail.

4. Say something about the actual gift and what you like about it.

Even if it's not something you like, there has to be something that's good about it. For example: The vase is such an unusual shape, and as you probably knew when you bought it, blue is definitely my favorite color!

5. Say something about the giver to indicate you noticed their thoughtfulness or generosity.

For example: As always, I suspect you really knocked yourself out in choosing the perfect gift.

6. If possible, add a small personal comment.

For example: Can't wait to see you next week at the play, and look forward to hearing more about your daughter's graduation.

7. Add another thank you, or a "thanks again for thinking of me."

8. Sign off with a closing that fits the relationship.

If you're very close, "Love" or "Warmly" or something that has a tone that fits. If you're not that close, "Sincerely" or "Regards" is more appropriate. And of course, sign your name.

9. If this is still too much to handle, use a card that already includes a message.

At the very least, include a handwritten word or two and mention the specific gift. Even without a lot of words, a well-chosen card can indicate that you put some thought into your note. For example, if the gift is for a child, include a photo of the child with the gift; if the gift is a figurine for your glass fruit collection, choose one with fruit on the front.

10. Mail it right away.

The earlier a thank you note is received, the more sincere it seems.


Tips:

If the gift is someone you are in touch with on a regular basis, be sure to mention at a later time how the gift is still reminding you of them.
